A list is a search that is already prepared for you and runs in the background. Every document that matches it appears in the list, and the list is up to date each time you open it. Instead of searching again for the invoices that are waiting for approval, you open the list that collects them.
In the new DocuWare Client, open Lists in the left sidebar of the DocuWare client.
New client only
This article applies only to the new DocuWare client. For the classic client, see the classic DocuWare client help.

Coming from the classic DocuWare client?
In the classic client, open the new DocuWare client with the link Open new DocuWare. You see the same lists as in classic DocuWare. These are the differences.
Lists are opened from the Lists side panel, which you can search, and the lists you need most can be pinned to the top.
The number of documents in the list and its notification are not yet available. Coming soon.
Documents are always listed in a table. The other views of the classic client are not available.
The new DocuWare client is available in DocuWare Cloud only for now. On-premises systems continue to work with the classic client.

Opening a list
Lists open in tabs, so you can keep several of them side by side.
With no list open, select Open a list on the start page. The Lists side panel appears with every list you can use.
With a list already open, select the plus icon next to the tabs to open the side panel again.
If you have many lists, use the search field at the top of the panel and open the list by its name.
Pinning the lists you use often
Pin a list in the side panel to keep it at the top. Pinned lists stay in place, so the two or three lists you work with every day are always the first ones you see.
Pinning is specific to your account. Your pinned lists and your open lists are restored the next time you sign in, so you can pick up where you left off.
Actions for a document
The documents are shown in a table. You can sort the table, filter it, and Show/hide columns. Select a document to open it in the viewer next to the list, or right-click it, or select the three dots at the end of its row to open the document menu:
Open full screen: Opens the document in the viewer across the full window.
View index entries: Opens the index dialog. It starts in read-only mode and offers an Edit button if you have the permission to change index entries.
Morer abour Viewing and editing index entries
Attach files: Groups this document with others into one set, with each file kept as it is. See Attaching and merging documents.
Manage pages: Adds, rotates, reorders, and deletes pages inside a PDF document. The entry appears only for PDF documents. See Managing the pages of a PDF.
Print: Prints the document with or without its annotations.
Download: Downloads the document in its original format or with its annotations.
Share: Shares the document by email, through Microsoft Teams, or as a link with Copy document link.
You are offered only the actions your permissions allow. Three actions are not part of a list yet and will follow later: editing the document, the version overview, and deleting.
Actions for the whole list
Select the three dots above the list to act on the complete list instead of a single document.
Export to .csv file: Exports the list as a .csv file. You select which index fields the file contains in addition to the standard fields, and the character encoding, with UTF-8 as the default.
Copy results list link: Copies a link to the list to the clipboard. The link shows the list live, not as a fixed snapshot. Anyone who opens it sees the documents that match the list at that moment. Only the documents the person is allowed to see appear.
Share list via email: Sends the link to the list by email.
Notes for administrators
Lists are configured in the same way as in classic DocuWare. Existing lists keep their settings and their assignments, and nothing has to be set up again for the new DocuWare client.
Which lists a user sees is decided by the assignment of the list and by the file cabinet permissions.
The Result list functions that could be shown and hidden in the configurations are no longer evaluated. The actions for a document in the context menu of the result list depend solely on the permissions. Hiding such an action never restricted what a user could do, because each function has its own permission and can be used in other ways.
