A document tray in DocuWare is primarily used to process documents before they are stored.
How do documents get into the document trays?
You can simply drag and drop documents from your desktop or file explorer into the document tray.
Use the Import button in the tool bar of the document tray to open a file selection window. Then navigate to the documents you want to import into DocuWare.
The Scan button in the tool bar of the document tray allows you to scan documents directly to your document tray using a locally connected scanner. To do this, you must first install the Desktop Apps and connect the scanner. More on scanning documents
With an import configuration, you can also scan documents from a network scanner directly into your document tray. Your DocuWare administrator can set this up for you.
What functions are available in the document tray?
Simply double-click a document to display it. If you want to compare documents, for example to decide which of them should be stored, it is best to open the second document in another viewer window, either via the "Open in new viewer window" menu or by pressing [Ctrl]+[Alt]+[Enter].
You can merge several documents into one so that they are stored together: invoice and delivery note, project plan and related meeting notes, and much more. You have two options here: With stapling, a PDF is created from several PDF documents. With clipping, the individual documents (even different file formats) remain as such. In each case, select the desired documents in the order in which they are to be merged and then click on the corresponding entry in the context menu. You can change the contents of a document using the Edit function in the context menu. To do this, the document is opened in the program that is stored on your computer as the default program for the corresponding file type.
If you only want to change the name of the document, select Rename [F2].
Even in a paperless office, you can of course also print documents, individually or several at once. You always have the choice whether annotations made in the viewer should be printed or not.
For further processing of a document outside DocuWare, you can download it or send it by email. You can choose whether the document should remain in its original format or be converted to PDF.
Last but not least, you can also delete a document from the document tray [Del].
The document is moved to the recycle bin and finally deleted after 30 days.
