Store

To store a document from the document tray in a file cabinet, first double-click the document to open it and then click on Store. If you are assigned several store dialogs, make sure that you use one for the file cabinet in which you want to store your document. (The store dialogs are each listed as <file cabinet name> - <Dialogname>.)

Now is the latest point at which you can assign index entries or, in other words, classification criteria to the document. This index data is then used to find documents in the file cabinet, structure them in folders, control them in workflows, and much more. But don't worry, you don't have to type much because DocuWare does it all for you.

Indexing

It is quite possible that the index fields in the store dialog are already filled in, for example, because the document was added to the document tray via a scan or import configuration and the configuration already contains rules for indexing. Or Intelligent Indexing is enabled for your document tray. You can recognize this by colored markings, both for the documents in the document tray and for the index fields in the store dialog. Intelligent Indexing, based on machine learning, reads out documents in the document tray, immediately identifies their core information, and uses this information appropriately as index entries. The traffic light colors show you how reliable the service is: green = highly reliable, yellow = not so reliable, red = highly unreliable/no suggestion. If an index field is still empty, you can assign a suitable term from the select list. To do so, click on the arrow at the end of the field.

Or you can accept content from the document without typing using One Click Indexing, guaranteed without typos or transposed numbers. Simply click your mouse cursor on a term or number in the document displayed to assign the content to the active field of the store dialog. The focus then immediately moves to the next index field so that you can finish indexing with fewer clicks. Tip for date fields: Press the [x] key to enter the current date in the field, use [+] and [-] to move forward or backward by a day.

When all fields are filled in (or at least all mandatory fields), click on Store again to store your document.
