To store an email and its attachments to DocuWare, open the email and click the Options button (three dots icon) or click the DocuWare icon, if you have created a shortcut. Select the option Send to DocuWare.
Select a file cabinet or a document tray and define, if you want to import the mail body and/or the attachments. You can also pick specific attachments for archiving.
Document tray: With Import the mail is stored into DocuWare. Switch to your DocuWare Client to access the document tray and to view, sort or store the uploaded email as usual in the DocuWare Client.
File cabinet: Select the a store dialog to index the email and the selected attachments.
The index dialog is shown. Enter a term into an index field or mark a word in the document, so that it is copied automatically into the index field.
After storing you can switch via the Go to DocuWare link to the document stored in your DocuWare organization.
The imported email remains in the Microsoft Outlook inbox and will be marked with the DocuWare flag.
Notes:
If a user stores multiple documents to a file cabinet, the store dialog will be displayed just once. All the files (email body + attachments) will be stored as one clipped document.
With the first launch of DocuWare for Outlook, the default document tray is shown as first option. After that, the document tray or file cabinet, that was used during the last import, will be set as first option for the next import. The user cannot change the sorting order of the document trays and file cabinets in the app.
If users have activated the send and store option in the settings, their document trays are visible as storage locations when writing the mail, as are the Attachments and Email body options. If Store all email automatically is also activated in the settings, no further settings are required for storage here. However, users can change the storage options here directly.
For a shared mailbox: If an email has been saved at least once, it is marked with the DocuWare flag. The flag is visible to all users who have access to the shared mailbox.
