DocuWare now supports archiving emails from Microsoft 365 shared mailboxes using General E‑Mail configurations (Connect Mail). This enables automatic import and processing of messages sent to team mailboxes in addition to personal mailboxes. Additional Microsoft 365 user licenses are not required for shared mailbox archiving.
Application
Use a shared mailbox that multiple employees access (for example, invoices@company.com, orders@…, support@…). All incoming emails can be imported into DocuWare and processed in existing workflows.
Benefits
Continuity: processing is not tied to a single employee’s mailbox.
Consistency: same interface for personal and shared mailboxes.
Costs: no additional Microsoft 365 user license required.
Compliance: uses secure, modern authentication.
Centralization: teams can archive via a single address.
Here's how
In DocuWare Configurations > General Email, create a new email configuration, enter the shared mailbox address in the Email field.
In the Microsoft 365 sign-in, authenticate with your personal Microsoft account.
Ensure your personal account has the required rights, for example, Full Access or Send As, to the shared mailbox, granted by your Microsoft 365 administrator. The Access uses Microsoft Graph and OAuth2 tokens, so permissions and mailbox access are fully controlled and revocable in Microsoft 365/Azure AD.
