Like the classic DocuWare client, the new DocuWare client is your central platform for everyday business. Here you search for documents, read them, work on them, and pass them on.

This article gives you an overview of the new client. For more on how the clients differ and what they have in common, see the section "Coming from the classic DocuWare client?."

Coming from the classic DocuWare client?

The new DocuWare client works with your existing file cabinets, dialogs, and workflows, and applies the same permissions and roles. A document has just one set of index entries, stamps, annotations, and workflow tasks, no matter which client you open it in. A team can work in both at the same time, and every user sees the current state of a document. Each person decides which client to work in and can switch at any time.

In the classic client, open the new DocuWare client with the link Open new DocuWare. What you will notice first:

  • Document trays, search, tasks and the rest are icons in the left sidebar instead of tabs across the top.

  • Profile and Settings is now splitted in two areas: Profile & Preferences for your personal settings and Security for your password and account access, among others.

  • The new DocuWare client is available in DocuWare Cloud only for now. On-premises systems continue to work with the classic client.

The areas of the screen

Documents are stored in DocuWare file cabinets, and each document has index entries such as company, document type, or date. To view documents, you search by these index entries and by the content of the documents.

To find a document, type a word into the search bar and click the Search button. This is the DocuWare client at a glance, after a search and with a document open in the viewer. After a search, the DocuWare client looks like this. The individual areas are numbered here and described below:

  1. Left sidebar: Here you can switch to your tasks, lists, or the chat, among other things. You only see the areas you have access to, so your sidebar may be shorter than the one shown here:

  2. Search tab: Each search runs in its own tab, like tabs in a browser. Select the plus icon to start another search without losing this one, and switch between tabs to compare results.

  3. Search bar: In the field, enter what you are looking for. The list to its left determines where DocuWare searches. The option All file cabinets searches everything you have access to. This is the right choice when you do not know where a document was stored.

  4. Chips: One clickable label per file cabinet, showing how many of the hits came from it. Select a chip to see that file cabinet's results on their own, which is also where sorting and filtering become available. Recently modified is the combined result across all of them.

  5. Result list: The documents that were found, one per row. The columns are the index entries of those documents, and you decide which of them are shown.

    The three dots at the end of a row hold everything you can do with that one document, from printing to deleting. A right-click on the row opens the same menu.

  6. Viewer: The document you selected, shown next to the list. You read it here, and you also work in it: annotations, stamps, index entries, printing, and sharing. Drag the divider to make the viewer wider or narrower, or close it when you need the full width for the list.

  7. QR code: Scan the QR code to connect the DocuWare app on your smartphone with your DocuWare organization.

  8. Menu: Everything that is not a document area. This is where you find your personal settings, Profile & Preferences and Security.

DocuWare terms you will meet

DocuWare client: The program you work in. In the past, it has also called the web client. Meant is always the same.

File cabinet: Where documents are archived. A file cabinet holds documents of a kind, for example invoices or personnel files, and decides which index fields those documents have.

Index entries: The field values a document is stored with, for example company, document type, or invoice date. They are what makes a document findable, and they are what you see in the columns of a result list.

Document tray: This is where documents are held before they are stored. When you import or scan documents manually, they first land in the document tray, so you can sort and complete them before they are stored in a file cabinet.

Dialog: A search dialog decides which fields you can search in, a result dialog which columns you see, and a store dialog which fields you fill in when filing a document. Dialogs are set up by an administrator for the file cabinet.
