With Workflow Manager you can create clear rules for document handling in your company: You can control working processes using document-based workflows, which are implemented with the DocuWare system. This lightens the load on your employees and makes daily business operations easier, as tasks can be performed quickly and efficiently.
Workflow Manager consists of two components:
Workflow Designer: You or the administrator can design your organization's workflows using Workflow Designer.
There are two versions of Workflow Designer available.
Web based Workflow Designer (“new” version - DocuWare Cloud and DocuWare on-premises version 7.14 and later)
Workflow Designer as Desktop app (“previous version”)
Workflow tasks: All workflow tasks that have been assigned to you are listed in the workflow task list in DocuWare Web Client.
Roadmap: switching to the web-based Workflow Designer
The web-based Workflow Designer has been available for DocuWare Cloud since September 2025 and, since May 2026 (DocuWare 7.14), for on-premises as well. Going forward, it will be the only tool for creating and editing workflows. The Workflow Designer desktop app will be phased out in two steps:
Step: Version 7.15 (fall 2026)
You can no longer create new workflows in the Workflow Designer desktop app. From then on, you create new workflows in the web-based Designer. Existing workflows can still be edited in the desktop app.
Step: Version 7.16 (spring 2027)
The desktop app is removed and no longer shipped with DocuWare. Creating and editing take place exclusively in the web-based Designer.
You do not have to migrate your existing workflows by a fixed deadline. A migration only becomes necessary when you want to edit a workflow, and you migrate each workflow individually at that point. It is recommended to start using the web-based Designer for new workflows now, so you can get familiar with it early.
