DocuWare for Outlook on-premises is an add-in that connects your local DocuWare installation with Microsoft Outlook, so users can file emails and attachments directly into their DocuWare trays and file cabinets without leaving Outlook. Once the add-in is set up, it is updated as part of the standard DocuWare setup package. There is no separate installer to run. This means that when you update your DocuWare version via the server setup, from DocuWare 7.13 onward, the add-in is updated accordingly.
This article walks you through updating the add-in to the next available version. After you run the DocuWare setup, generate a new manifest file and re-upload it to the Microsoft 365 admin center. Once you are done, users receive the new version in Outlook automatically on the next refresh.
No re-registration required
The OAuth scopes do not change between versions, so your existing admin consent and OAuth grant stay valid. You keep the same Microsoft Entra app registration and the same Manifest ID (GUID) you already use.
Prerequisites
A DocuWare Connect to Outlook license is required to access and use the add-in.
Your DocuWare server is running DocuWare from DocuWare 7.13 onward.
You have administrator access to the DocuWare server.
You have access to the Microsoft 365 admin center as a Microsoft 365 administrator.
1. Running the DocuWare setup
Start by running the current DocuWare on-premises setup on your DocuWare server, as described in Server setup. The setup removes the existing DocuWare for Outlook files and installs the new version in their place. You do not need a separate DocuWare for Outlook installer, and the rest of your DocuWare installation continues to run normally throughout.
2. Generating a new manifest file
Next, generate a new manifest file for your DocuWare system. You can follow the manifest instructions in Setting up DocuWare for Outlook on-premises, or use the manifest creation tool by entering your DocuWare URL and Client ID.
The Manifest ID (GUID) is the unique identifier that Microsoft 365 uses to recognize your add-in. When you upload a manifest, Microsoft compares its GUID with those of the add-ins already deployed. If the GUID matches one it already has, and the version number is higher, Microsoft updates that add-in in place instead of adding a new one.
For this reason, reuse the same Manifest ID (GUID) from your original DocuWare for Outlook installation, and do not generate a new one. Because only the version number has increased, Outlook recognizes the file as an update to the add-in your users already have. Reusing the GUID means:
Users keep a single DocuWare add-in, with no duplicate entries
Nothing needs to be uninstalled from Outlook first
Your existing admin consent and OAuth grant stay valid, so no one has to approve the add-in again
If you generate a new GUID, Microsoft treats the upload as a separate, brand-new add-in.
3. Re-uploading the manifest in the Microsoft 365 admin center
Finally, upload the new manifest file in the Microsoft 365 admin center under Integrated Apps (or Add-ins, depending on your Microsoft 365 plan).
Once uploaded, the updated add-in is expected to be rolled out to your users automatically during their next Outlook refresh. Due to Microsoft's manifest caching, it may take up to 48 hours for the new version to reach all users in your organization.
