Transfer

The Transfer module moves or copies large volumes of documents from one on-premises system to another file cabinet. The target file cabinet can be in another organization or DocuWare system.

Transfer replaces Export workflow

The Transfer module replaces the Export workflow in DocuWare Administration as of DocuWare Version 7. Unlike in Export workflow, all document versions can be transferred with Transfer – provided version management is enabled for the source and target file cabinet.

A transfer now includes not only the index entries but also the system entries for a document, as well as fulltext information.

Transfer and synchronization comparison

Transfer and synchronization provide you with two modules for moving and copying documents and index data from one file cabinet to another. The use case differs, however:

  • With synchronization, you can keep two file cabinets at the same status. A synchronization job is executed on a regular basis or at set times. The documents and index data can be exchanged in both directions: from the source to a target file cabinet and vice versa.

  • A transfer is a single transfer of documents to another file cabinet. One use case, for example, is a mass export of documents from an on-premises system to a cloud file cabinet. Unlike synchronization, a transfer can also transfer the versions of a document – provided version management is enabled for the source and target file cabinet. In addition, the filter query enables you to clearly specify which documents to transfer.

Default Settings

The Transfer module is visible in the DocuWare configuration for users with the Transfer function right.

Access to the source and target file cabinet is required to create transfer configurations.

In order for users to see, edit, and execute a transfer configuration in the overview, they must be assigned the appropriate rights in the Permissions tab of the wizard.

The Configure document transfer functional right is assigned in user management of the DocuWare Configuration.

The following file cabinet rights are required in order to execute a transfer job:

The file cabinet rights and field rights can be assigned in DocuWare Configuration:

File cabinet rights: File cabinets > File cabinet x > Advanced > User-defined profiles > Profile x > File cabinet > General permissions

Field rights: File cabinets > File cabinet x > Advanced > User-defined profiles > Profile x > Index fields.

Additional information about using Transfer:

  • The document ID is recreated in the target file cabinet.

  • Existing export workflows are transferred to the Transfer module. It may be necessary to reset scheduling.

  • At least one field of the source file cabinet must be linked to a field in the target file cabinet so that the configuration can be saved.

  • Table fields are assigned automatically. The names and the type of the columns must be identical.

  • A configuration always displays the time for job execution in the time zone in which the configuration was created. If your Windows time zone is different, a list will appear and you can select your time zone. This makes it easier to customize job execution since you do not have to work out the time difference: However, the execution time is not automatically postponed.

  • Transfer does not transfer documents that are in the trash bin. If the option Delete documents from source file cabinet after transfer is selected when configuring the transfer job, the documents will be deleted from the source file cabinet after transfer to the target file cabinet and thus moved to the trash bin.
