The Transfer module moves or copies documents and their index data between file cabinets, across DocuWare Cloud and on-premises systems. Use it for one-time migrations, archiving projects, or reorganizing documents across systems.
You find this module in DocuWare Configurations > Transfer.
The source and target can be DocuWare Cloud or DocuWare on-premises. Transfers can run within the same organization or between different systems.
DocuWare Cloud → DocuWare Cloud
DocuWare Cloud → DocuWare on-premises
DocuWare on-premises → DocuWare Cloud
DocuWare on-premises → DocuWare on-premises
Comparing transfer and file cabinet synchronization
Transfer and file cabinet synchronization both move or copy documents and index data between file cabinets. The use case differs:
File cabinet synchronization keeps two file cabinets at the same status. A synchronization job runs on a regular basis or at set times. Documents and index data can be exchanged in both directions.
A transfer is a one-time operation that moves or copies documents to another file cabinet, for example to migrate a large number of documents from an on-premises system to a cloud file cabinet. Unlike synchronization, a transfer can also include document versions, provided version management is enabled for both the source and target file cabinet. The filter query lets you specify exactly which documents to transfer.
Permissions needed
The module DocuWare Configurations > Transfer is visible for users with the functional right Configure Document Transfer. This right can be assigned in DocuWare Configurations > User Management.
To create transfer configurations, you need access to the source and target file cabinet. Users must also be assigned the appropriate rights in the Permissions tab of the wizard to see, edit, and execute a transfer configuration.
The following file cabinet rights are required to execute a transfer job:
Source file cabinet | Target file cabinet |
|---|---|
|
|
The following field rights are also required:
Source file cabinet | Target file cabinet |
|---|---|
|
|
File cabinet rights and field rights can be assigned in DocuWare Configurations > File cabinets > File cabinet x > Advanced > User-defined profiles > Profile x > File cabinet > General permissions.
Configuration notes
Consider the following when configuring a document transfer:
Document IDs are re-created in the target file cabinet.
To save a configuration, you must map at least one field from the source file cabinet to a field in the target.
Table fields are mapped automatically if the column names and types are identical.
The configuration displays the scheduled execution time in the time zone that was active when the configuration was created. If your Windows time zone differs, you can select your time zone from a list to simplify scheduling. This selection does not automatically adjust the execution time.
Documents in the trash bin are not transferred.
If you select Delete documents from source file cabinet after transfer, documents are deleted from the source after transfer and moved to the trash bin.
