Archiving a Document in DocuWare from an Application Using 'Save As'

If you opened a document in an external application and you want to archive it in DocuWare, the easiest way to do this is to use the Save As feature in the external application and select a folder in the DocuWare folder structure as the storage location. When you choose a folder/subfolder, you immediately allocate the index entries with which the document is archived in DocuWare. It also opens the store dialog to allow you to enter additional index words.
This only happens if you did not open the document from within DocuWare.

For example:

Your DocuWare folder structure comprises the index entries of the Company and Contact fields. The index field for which the Document name option is enabled is the Subject field.

You now save the leisure park plan.pdf file from Acrobat using the Save As feature in the DocuWare folder structure, namely in the Peter Jones subfolder in the same company, Leisure park Jones.

The document is automatically assigned the index words specified by the folder structure, i.e.
Company: Leisure park Jones
Contact: Peter Jones
You can use the DocuWare select lists to complete the fields using the arrow symbol next to the field or the arrow button.

On Windows XP SP2 with Office 2003 SP3 you may not be able to use this feature with Microsoft Word and Excel.

Accessing an Archived Document from an Application Using Open

You can select and open a document in the DocuWare folder structure from a external application such as Word using the Open feature.

Please note that the document is opened from DocuWare in read-only mode, even if the external application is not in read-only mode. This means that you can make changes to a document opened in this way and you can save them. However, the changes will not be applied to the document in the DocuWare file cabinet.

On Windows XP SP2 with Office 2003 SP3 you may not be able to use this feature with Microsoft Word and Excel.
