This module lets you set up connections to your web services. The web services are thus available throughout the organization for workflows, webhooks, the DocuWare Signature Service, and for the validation of the index data during storage.
Notes
You can find more information about the creation of web services directly within the user interface via the info icons.
Additional information about using Web services:
To view and use the Web services area in the DocuWare configuration, you need the Configure web services functional right, which is assigned in the DocuWare configuration under User Administration.
You can create REST and SOAP web services. For information about their different handling with DocuWare, see Web Service (activity in Workflow Manager).
The connection test checks the accessibility of the URL and the authentication.
Web services in Workflow Manager
In Workflow Manager, you can integrate web services (REST, SOAP) as well as webhooks (REST) in your workflows. Data can be created, updated, or deleted in another application and exchanged between systems so that data from other programs can be used in workflows.
For example, you can automatically enter the invoice amount in the form in your accounts payable workflow. Or your accounting department can exchange XML data between DocuWare and your ERP system. You can sign documents electronically using the DocuWare Signature Service.
To use web services with Workflow Manager, first create them here in DocuWare Configuration under Web Services.
In Workflow Designer, you then incorporate the web service workflow activity in your workflow configuration. Select the desired web service in the activity dialog and set up its invocation in an assisted structure with a workflow type.
DocuWare Signature Service
The DocuWare Signature Service is a SOAP web service that can be integrated into workflow activities. Documents that are in a DocuWare workflow can therefore be transmitted to an external signature service provider–Validated ID or DocuSign. This service provider verifies the identity of the signer and returns the signed document with the signature certificate to DocuWare. The signed version of the document can either replace the original document or be attached to the original document. In addition, an index field is updated with a specific value. This value can be a trigger condition for another workflow, for example.
DocuWare Signature Service supports only PDFs—the document is converted if needed. However, annotations from the DocuWare document are not included in the PDF to be signed.
Both DocuWare Cloud and the signature providers' web apps use SSL so that documents are secure during and after signing. Any locally installed DocuWare system must also be configured for SSL in order use the Signature Service.
To be able to use the DocuWare Signature Service, a service contract with one of the external signature providers is also required.
