With Smart Connect, you can connect your applications, such as your accounting program, directly to DocuWare. Smart Connect helps you search for documents in your file cabinets and index documents.
Smart Connect reads content from the user interface of any application and transfers it to DocuWare as search or index terms. This means that search or index terms do not have to be entered manually.
Smart Connect offers the functions Highlight Search, Smart Search and Smart Index.
Highlight Search
Highlight text in any application, press a predefined key combination, and the desired document from the DocuWare file cabinet opens in the viewer.
Example: You receive an email from a customer with the number of an invoice you sent them. You select the invoice number, press [Alt-F4], and the invoice loads in the viewer.
Configuration: To use Highlight Search in all your programs, set up the new search once in the DocuWare configuration under Smart Connect.
Smart Search
Like Highlight Search, Smart Search searches for documents in DocuWare without you having to leave your main application. If desired, Smart Search can integrate a search button into the application, eliminating the need to select text. You can also define multiple search terms in a Smart Search, for example, “Document type: Invoice” and “Supplier: Peters Engineering.”
Example: You are working in accounting software and frequently need the invoice number for the data records. With one click on the search button, the corresponding invoice is opened.
Configuration: For each Smart Search, you set up a separate configuration in the DocuWare Configuration. Among other things, you specify which content from which application is to be transferred to which fields of a DocuWare search dialog.
Smart Index
With Smart Index, you can index documents in DocuWare without having to leave your main application, such as your accounting program. Smart Index reads content from your program's interface and transfers it to DocuWare as index terms. This is done either when documents are filed or when already archived documents are reindexed. This means you no longer have to enter or copy content from other applications into a DocuWare dialog.
Example: You post an invoice in your accounting software and archive it in DocuWare. The invoice appears in the DocuWare Viewer and the filing dialog opens. Back in the accounting system, you enter the company name, date, invoice number, and amount, for example. Start Smart Connect with a single click: DocuWare transfers all this data from the accounting system interface to the filing dialog.
Configuration: Smart Index is also based on configurations set up in the DocuWare Configuration. In the configuration, you specify, among other things, which content from which application is to be transferred to which fields in a DocuWare search dialog.
Install Smart Connect as a DocuWare Desktop App
To use Smart Connect, the Smart Connect desktop app must be installed on the server. For more information on installing Smart Connect, see the Help for DocuWare Desktop Apps.
You must also connect the locally installed desktop apps to your DocuWare in the DocuWare Web Client: DocuWare Client > Start menu > Desktop Apps > Connect to Desktop Apps.
DocuWare Smart Connect is included in DocuWare Cloud. For on-premises installations, DocuWare Smart Connect is an additional module that requires a license.
